Job Description

Interviews patients in order to obtain demographic and insurance information required for scheduling and registration. Registers confidential information in the computer system and updates and revises the information as needed. Validates patient’s information at every encounter. Contributes to efficient and high quality registrations by providing consistent, accurate work.




Creates pre-registrations for future scheduled appointments. At the time of pre-registration, verifies all insurances, initiates pre-certification, and ensures referral has appropriate authorization, if needed.




Receives referrals via fax and interoffice mail from external facilities and providers. Determines which clinic/provider the referral needs to be scheduled with, schedules appointments, and notifies both referring provider and patient.




Schedules/reschedules patients as needed. Confirms patient appointments via telephone or in person, utilizing proper customer service etiquette.  Calls all no show patients to reschedule their appointments, as determined by provider; documents contact was made; and the outcome on No Show screen or on the referral notes




Collects co-payments, deductibles and other financial liabilities. Maintains cash logs and adheres to cash handling policies and procedures. Informs patients of their financial responsibility at every visit. Asks every patient every time for their co-payment.




Customer Service – greet everyone in a friendly and professional manner by saying. Escort and assist anyone who is in need of help, in a cheerful way. Be accountable for actions, behaviors, and choices.


Job Requirements


Prefer knowledge and understanding of insurance programs and eligibility factors.

Requires excellent data entry skills including, 10-key by touch, and the ability to type 30

words per minute accurately.

Basic Math Skills required. 

Must be able to demonstrate interviewing and investigative techniques in order to obtain information that may not be offered.

Must possess good interpersonal and communication skills both verbally and in writing including knowledge of basic grammar, spelling & punctuation.

Critical thinking skills are strongly preferred.

Must be able to handle multiple tasks simultaneously.

Requires one to two (1-2) years general clerical, customer service, or medical experience preferably in a healthcare environment involving data reconciliation.





Education or equivalency: Requires a High school diploma or GED certificate.
