The Associate Purchasing and Controls Specialist is responsible for invoicing and contract management as well as processing all purchasing requests in a timely manner and according to service level agreements. This includes processing telecommunications invoices and maintaining accurate records and submitting proper accounting documents for payment. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.


Performs invoicing and contract management. Matches invoices to shipments and delivers invoices to accounting to be paid. For service contracts, enters requisitions in system and maintains contract information. Performs processing of purchasing requests and ordering of inventory. Enters customer requisition in system. Enters internal MIS cabling and repairs invoices as requisitions in system. Processes inventory ordering (ordering from multiple vendors). Processes equipment for new IT projects. Processes phone stipend/reimbursement. Handles inter-department transfers (IT and phones). Purchases/orders mobile phones/WiFi for approved situations. Performs telecoms billing activities. Audits bills. Creates, approves, and sends payment vouchers to Accountin g for payment. Maintains billing database. Places orders for disaster phones and calling cards. Bills back departments. Orders and pays for external conference bridges. Performs white pages phone directory investigation and validation. Performs other duties as assigned or directed to ensure smooth and efficient operation of the MIS department and in order to comply with Florida Hospital policy and procedures.

Job Requirements

KNOWLEDGE AND SKILLS REQUIRED: Knowledge of personal computers, hardware, software, mobile phones, and computing tablets Knowledge of purchase flow from creation of a requisition to receipt of product

EDUCATION AND EXPERIENCE REQUIRED: Experience using purchase order systems
