 RESPONSIBILITY:                                                                                                                                                        

Under general direction and guidance of the Shared Services Director and working closely with the Human Resources (HR) function, this position will primarily be responsible for the administration and processing of the Company’s U.S. payroll.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Performs and supervises all activities necessary to process payroll for 13 sites and approx. 1800 employees, protecting and maintaining system and employee confidentiality.
  • Processes employee deductions (tax withholding, garnishments, benefits,401k, union dues, etc.), remitting accurate and timely reports and payments to third party providers.
  • Ensures that third party vendor properly calculates and remits all state and federal payroll taxes, reconciles payroll registers to tax payments, and resolve differences. Responds to and resolves any deficiency notices.
  • Prepares various documents, reports, and reconciliations in support of Finance and HR, such as journal entries, headcount/employee reports, benefits enrollments data, and other requests.
  • Support auditor information requests for internal and external audits.
  • Regularly document and update payroll procedures, creating efficient standard work. Expected to recommend and implement process improvements.
  • Working supervisor with one direct report. This direct report spends approximately 50% of their time personally performing payroll processing and related activities. This direct report has dotted line responsibility to the G/L Accounting function for the remaining 50% of their time.

Job Requirements

EDUCATION and/or EXPERIENCE:  

  • Associates degree in Accounting, or a related field, preferred. Equivalent experience will be considered in lieu.
  • Minimum 3-5 years experience of administering payroll within a multi-site, multi-state, union and non-union, exempt and non-exempt environment.

 OTHER QUALIFICATIONS:

  • Enthusiastic, with ability to respond in a constantly changing environment and remain calm under pressure.
  • Must be capable of protecting and maintaining confidentiality of all information.
  • Strong written and oral communication skills with a responsive, customer service focus.
  • Ability to work cooperatively and collaboratively with all levels of employees, management, and external agencies to maximize performance, problem solving, and results.
  • Proficiency in MS Office: Word, Excel, PowerPoint, payroll software (Kronos, CORT or similar)
  • Must be detail oriented, accurate, possess excellent organizational skills and be a team player.
  • Must have a strong analytical and problem solving background, with a demonstrated commitment to continuous improvement.
  • Ability to act and operate independently with minimal direction from Manager to accomplish objectives.
  • Experience in a shared services or manufacturing environment preferred.
  • Flexible work schedule as needed during high workloads and month-end close periods.

Supervisory Responsibility

This position supervises one direct report, whose responsibilities are shared 50/50 between payroll processing tasks and G/L accounting tasks. The direct report has dotted line responsibility to the G/L accounting function.

This job operates in a professional office environment. This role routinely uses standard office equipment.
