Job Description

Office manager is to provide administrative support to the program director and all staff. Provides supervision to assigned staff. Duties include, but are not limited to the following: answering phones, screen calls/take messages, greeting walk-ins, scheduling appointments, prepare and submit vouchers and invoices to the business office, payroll/distribute and collection of timecards, track/coordinate systems in place, data entry, maintain office supplies, building and equipment according to program needs, typing, copying, data entry, mailing, filing, receive and distribute mail, maintain phone listings and other duties for report and data gathering/entry, training for staff development, or other needed areas.

Must be able to work in a fast paced environment; ability to comfortably multitask; pay attention to detail; comprehend and follow instruction; perform assigned tasks and meet deadlines; maintain appropriate work space; perform complex or varied tasks.

Job Requirements

Qualifications: Bachelor’s degree in field related to position responsibilities. 1-3 years’ experience in administrative position required. Background check clearance required. Valid Illinois driver’s license and proof of automobile liability insurance may be required.  Ability to communicate in a clear, comprehensible manner both verbally and in writing. Demonstrate organizational and leadership skills. Must have experience with Microsoft Word and computer skills.

Office manager/receptionist is the first person visitors and clients see or talk to at the office. Must be friendly, respectful and professional.
