Job Description


Responsible for conducting all activities related to tendering and managing existing contracts for both Drilling Services and Rental Services (ITS). Interacts with Business Unit’s Business Development Manager(s) (BDM) and assists with proposal preparation for existing and prospective customers. The individual will be responsible for ensuring full compliance with the Company’s IMS processes while managing the existing contracts and the output and delivery of the proposal documents, working according to deadlines.

KEY RESPONSIBILITIES & TASKS include the following:


  1. Serve as tender administrator and get involved in preparation of responses to Pre-Qualification Requests, Requests for Information, Requests for Proposals, Invitations to Tenders etc. (collectively “Proposals”).
  2. Manage Proposal preparation in conformity with IMS in a consistent manner at all times. Work closely with core teams within BU and Corporate while bringing in subject matter experts when required.
  3. Evaluate Proposals for due dates, distribute, determine initial viability and review history of past bids. Recommend Proposal preparation schedule and expedite various items to ensure that they are completed by the designated due date.
  4. Ensure all key internal stakeholders are timely informed and updated on Proposals requirements, schedules and progress.
  5. Participate and coordinate Proposal preparation by properly distributing for comments, evaluating comments for completeness, compiling all information, packaging and mailing formal responses and following-up with Business Unit and corporate functions with materials and responses within specified deadlines.
  6. Alert Division/Country Manager and BU/Regional BDM to potential problems with Proposal preparation and deliverables.
  7. Edit information received from other departments. Organize Proposal content in format consistent with customer requirements and in accordance with company standards.
  8. Compile all finals documents and ensure delivery to internal customer within Business Unit and as may be required to external customer within the required timeframe.
  9. Maintain accurate and complete records and files (hardcopy & electronic) of all Proposal data for both Drilling Services and Rental Services (ITS). Ensure that electronic files are timely uploaded into the SharePoint.
  10. Ensure that all pertinent information is reflected in Salesforce database in a timely and accurate manner consistent with the established procedures.
  11. Prepare and distribute reports in format and frequency as may be defined from time to time by the Corporate BD department and BU management.
  12. Provide specific inputs to “lesson learned“after submittal of each Proposal.
  13. Maintains adequate supplies and materials for proposal preparation.
  14. Manage multiple projects and keep them on schedule by multitasking and managing workload as to not miss any internal and/or external deadlines
  15. and all the documents
  16. Carry out any other additional duties, such as ad-hoc projects, as requested by the BU BDM that are within the skills and knowledge of the jobholder

  Contract Management: 

  1. Be responsible for ensuring the Business Unit follows Company contract management practices and requirements
  2. Ensure all business functions comply and adhere to the contract requirements by conducting contract handover reviews and regular engagement with the functions
  3. Participate in annual contract audits to ensure aspects such as scope of work, responsibilities, invoicing procedures and other related contract matters are compliant with the contractual terms and relevant corporate processes
  4. Engage with members of company departments and clients in a positive and professional manner
  5. Maintain and govern document retention processes to ensure contract documents are filed and retained per existing process requirements
  6. In strict compliance with the relevant IMS processes create change orders, amendments, variation orders, extension, notifications and other related forms for means of documenting changes to scope of work and commercial terms
  7. Monitor and analyze contractual performance against the bid sheet, AFE, and budget forecast
  8. Support negotiating contracts with customers
  9. Work with operations group to assist in contractual compliance and DSO improvement
  10. Assist in development and implementation of an annual contracting strategy for pricing improvement and adjustments
  11. Support BU BDM in the contract review during tendering phase.

 Other responsibilities and duties may be assigned by the BDM and Global Contracts Manager as warranted by the needs of the business.

Job Requirements

  1. Excellent knowledge in tendering, proposal and contract development (3-5 years’ experience)
  2. Good attention to detail with high importance placed on accuracy
  3. Able to prioritize and work well under pressure to meet strict deadlines
  4. Demonstrate strong commercial skills and acumen
  5. Experience and demonstrated skill in schedule development and overall project reporting activities
  6. Technical knowledge of drilling units and tool rental services
  7. A proven and successful track record of contracts management and document retention
  8. Demonstrate excellent business writing skills
  9. Good computer and Microsoft Office Suite knowledge and skills

Education and/or Experience

Bachelor Degree in Administration or Engineering discipline

Language Skills:

Must have very good command and be able to communicate effectively both in English and Spanish.
