Job Description

ESSENTIAL FUNCTIONS:

  • Assists in maintaining calendar for equipment maintenance
  • Schedules/orders required maintenance for equipment and complete necessary paparework
  • Provides high level support administrative support to the maintenance and scheduling department
  • Performs clerical functions, preparing reports, handling information request and correspondence
  • Performs routine HR transaction in absence of the local HR/Payroll representative
  • Ability to work in a confidential capacity
  • Other duties as assigned

Knowledge of fiscal management and office management techniques. Knowledge of computer systems and applications. Ability to apply policies and procedures to solve everyday issues. Ability to exercise initiative, problem solving and decision making skills. Ability to establish priorities and coordinate work activities. Ability to work in conjunction with Company managers and employees. Excellent verbal and written communication skills. Ability to work in a fast paced environment and handle multiple projects simultaneously to meet critical deadlines. Ability to quickly develop strong internal working relationships.

Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information to top management, public groups, and/or boards of directors. Ability to calculate figures and amounts such as discounts, interest, commissions proportions, percentages, area, circumference, and volume. Ability to define problems, collect data, establish facts, and draw valid conclusions.

TYPICAL PHYSICAL DEMANDS: Requires prolonged sitting, some bending, stooping and stretching. Requires constant data input for extended periods of time without leaving the work area. Occasionally lifting files or paper weighing up to 30 pounds. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment. Requires normal range of hearing and eyesight to record, prepare, and communicate appropriate reports. Requires mobility sufficient to travel.

TYPICAL WORKING CONDITIONS: Normal office environment. Occasional evening or weekend work.

 

Job Requirements

Minimum Qualifications and Skills:

  • Intermediate level proficiency at Microsoft Office Suite.
  • Five to seven years successful administrative experience.
  • High administrative support proficiency in business systems, databases and spreadsheets (ERP, HRIS).
  • Ability to organize, set priorities and responsibility within areas.
  • Ability to establish and maintain working relationships with managers, employees and others in the course of work.

EDUCATION AND EXPERIENCE:

2 year post secondary College diploma or University Degree.

Technical school - highly desirable

Completion of Grade 12
