SUMMARY

The Payroll Coordinator performs all duties necessary to process multi-state payroll for exempt and non-exempt employees. In this role you will maintain related records, voluntary deduction reports, involuntary deductions such as levies and garnishments, preparing accounting transactions, documenting and updating procedures, and preparing special reports for management. This position requires general knowledge of common payroll and general accounting practices. Work well to maintain both routine and non-routine administrative accounting work performed using general procedures and processes to follow, but variations in these procedures are typical.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Responsible for controlling timely and accurate payroll input through internal system and external payroll service bureau.
  • Ensures that only authorized salary information issued, proper accounts are affected and accruals are accurate.
  • Maintains confidentiality of employee information.
  • Prepare payroll and accounting journal entries, including reconciliation of payroll related GL accounts.
  • Research and respond to inquiries relating to payroll issues. Take appropriate action to identify and resolve problems. Works closely with Human Resources Management team.
  • Establish and maintain payroll files. Update employee profile and payroll status changes.

  • Prepare EDD and Labor Statistic reports and a variety of payroll related documents.
  • Compiles statistical and payroll data from a variety of sources to create reports for both internal and external purposes.
  • Researches discrepancies of payroll information and/or documentation (e.g. time sheets, leave time, salary, supplements, etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing.
  • Take on other duties assigned by leadership outside the normal scope of responsibilities
  • Self-manage time and duties in a fast-paced environment. Able to manage multiple projects and tasks simultaneously 

Requisitos del puesto

QUALIFICATIONS

  • 3-5 or more years of Payroll Experience required
  • Knowledge of ADP Enterprise, ADP eTime, ADP HWSE strongly preferred
  • Knowledge of payroll federal and multi state taxation laws, regulations and requirements.
  • Solid organizational and strong verbal and communication skills.
  • Exceptional problem solving skills and strong attention to detail.
  • Excel proficient; pivot tables
  • Excellent written and verbal communication skills are required in order to respond to employee payroll issues.
  • Well versed with standard payroll concepts, practices and procedures.

LANGUAGE SKILLS  Experienced with Payroll/HRIS system; Proficiency in the use of Microsoft Office, Excel (Pivot tables) and Word software is required.

PHYSICAL DEMANDS  Normal working hours for this position are Monday – Friday, specific 8am – 5pm, 40 hours per work week, however, longer hours may be required month-end and/or project driven peak periods.

COMPUTER SKILLS English is the principal language for this position. This position requires good written and verbal communication skills and the ability to communicate effectively in a diverse multicultural environment.
