Executive Administrative Secretary

Provide Executive Support to the Director of Services

Job Responsibilities & Duties to include but not limited to the following:

  • Answer and manages incoming calls.

  • Receives and interacts professionally with all incoming visitors and clients.

  • Responds to and distributes all incoming correspondence

  • Manages and maintains executive’s schedules, e-mails, appointments and travel arrangements.

  • Maintain Outlook Calendars

  • Schedules and coordinates meetings and events

  • Schedules activities, establishes priorities, and complies with deadlines using effective time management and organizational skills

  • Prepares documents in preparation for meetings and presentations

  • Transcribe/take meeting notes in meetings/ type the notes and distribute to appropriate staff

  • Prepares and edits correspondence, communication, presentations and other documents.

  • Compiles statistical and /or a narrative data into reports

  • Establishes, designs and maintains databases and/or spreadsheets and generates reports

  • Conduct research, collect and analyses data to prepare reports and documents.

  • Generates reports for data analysis

  • Produces documents of various levels of complexity, ranging from plain copy typing to the manipulation of data to create complex presentations

  • Liaison with internal staff at all levels

  • Reviews operation practices and implement improvement where necessary

  • Supervise, coach and train lower level staff

  • Must be able to establish and comply with deadlines

  • Must effectively communicate both verbally and in writing


Must have the proven knowledge and skill to support at the higher executive level of management to include the following:

  • Experience in leading projects from beginning to end.
  • Attention to detail and accuracy is a must
  • Excellent customer skills
  • Effectively communicate with all executive management, internal staff and visitors.
  • Excellent skills in organization, time management and meeting deadlines required
  • Must be able to problem solve, make sound judgement decisions and be proactive.
  • Must be able to work in a confidential environment.

Job Requirements


  • Bachelor’s degree preferred.
  • Four years of administrative support at the  higher management level
  • Advanced knowledge  and proficiency of Excel, PowerPoint, WORD and creating spreadsheet
  • Experience in creating, designing  and maintaining database

Salary $20.00-$25.00 an hour
