Join our team of competent and compassionate professionals as an OTP Clinician in the Opioid Treatment Program (OTP/MAT) at Behavioral Health Network!

The Administrative Assistant is responsible for administrative tasks that support MAT/OTP team in adhering to contractual and regulatory requirements.

ESSENTIAL JOB FUNCTIONS*

    • Welcomes individual served and visitors to the facility.
    • Completes intake process with individual served by gathering demographic information, insurance verification, completion and review of intake documents ensuring signatures and other pertinent information is completed.
    • Enters all pertinent data into Carelogic, Central Registry and Methasoft platforms as required by specific treatment modality.
    • Schedules appropriate intake diagnostics with clinical and medical providers.
    • Alerts clinical and nursing staff of admission and schedule.
    • Scans completed intake packet (ROIs, demographic form, consents, receipt of information, Central Registry consent/admission clearance, etc.) to EHR.
    • Keeps ample supply of packets for new intakes and ensures updated and appropriate paperwork is included.
    • Reviews office supply inventory for the site and provides supervisor orders for facility needs.
    • Prepares copies of materials and informational packets as requested by clinical and medical staff.
    • Answers incoming calls and directs to other staff as appropriate.
    • Schedules appointments including cancellations, and individual served reminders at intervals determined by providers including annual diagnostic.
    • Ensures providers signatures are applied to required documents prior to scanning to Carelogic document library.
    • Maintains daily scanning of individual toxicology screens, transfer documents, last dose verification, take home bottle forms, etc. into Carelogic document library.
    • Coordinates referrals with clinical staff for ongoing treatment; interacts in an effective manner with agencies and services.
    • Ensures that EIM/ESM disenrollments are entered into the Virtual Gateway or forwarded to trained administrative staff as required.
    • Being willing to work a flexible schedule which includes Saturdays to meet the needs of the program.
        • Can be scheduled as early as 9:30 and work to 6:30pm during the week, Saturday schedule would be 7:00am-12:30pm

  • Attends mandatory in-services within established time
  • Performs other duties as assigned

PREPARATION, KNOWLEDGE, SKILLS & ABILITIES

    • High School Diploma or GED
    • Bilingual (English/Spanish) required.
    • 1 year of experience in a position(s) which provided administrative/secretarial
    • Basic knowledge of Excel, Word, and other Microsoft products (Smart Sheet/PowerPoint).
    • Proficient in use of all office equipment (copier, fax, PC, printers, and scanners).
    • Must have familiarity with Internet, word processing, and email
    • Ability to be trained and develop proficiency in other software applications as the need
    • Excellent interpersonal skills.
    • Excellent verbal and written communication
    • Ability to work in high demand and/or stressful environments from time to
    • Ability to understand, empathize, and work with individuals recovering from substance misuse, dually diagnosed and/or methadone-maintained population.
    • Recognition of the impact of SUD issues and ability to be sensitive to the population
    • Availability to work variable and flexible hours to meet the needs of the facility.
