Our growing and dynamic organization is seeking a team-oriented HR Service Center Assistant with duties focused on providing the following services/skill sets:

The Human Resources Service Center Assistant is a supporting member of a skilled HR staff that provides timely services to employees on HR policies, benefits and employee programs.

Here are some of the day-to-day essentials:

Promptly and courteously handles all calls and walk-ins for the HR Department during regular business hours. Answers frequently asked questions from applicants and employees relative to standard policies, benefits, payroll, hiring processes. Also troubleshoots technical difficulties, resetting passwords and verifying applicant status and refers more complex questions to appropriate senior-level HR staff or management.

New Employee Orientation (NEO)

  • Prepares lists, handles all new hire information, collects I-9 forms and ID badges.
  • Ensures all required background checks are performed including CORI, DDS, EEC, Fingerprinting, and Registry of Motor Vehicles (RMV) prior to NEO.
  • Conducts New Employee Orientation on a rotating basis along with other HR staff.

Employment Verifications

  • Completes employment verification forms in a timely manner and writes employment verification letters as requested by employees.

Compliance

  • Completes regulatory, Fiscal and compliance audits within specified timeframes, as needed.
  • Submits OIG and DOR checks on new employees.

Data Entry

  • Logs employee complaints that cannot be immediately resolved.
  • Tracks information for new hires and any other forms or documentation that must be retained.
  • Enters relevant information such as: name and address and employment changes.

Unemployment Insurance

  • Works with HR Service Center Manager, third party unemployment claims administrator, and Program management to ensure each UI claim is handled properly.
  • Monitors UI compensation claims, coordinates claims responses and appeals.

Performance Management

  • Assists with all Job Descriptions, Performance Appraisal templates, report generation, reminders, logging and tracking employee corrective actions as needed.

Our HR Assistant will meet the following qualifications:

  • High School diploma required.
  • Associate's degree in Business Administration, Human Resources, or related field preferred.
  • 2 years of administrative assistant experience preferred.
  • 2 years of broad and progressive HR experience and knowledge of HR Systems (HRIS) preferred.
  • Experience in systems reporting, process management, data entry/ auditing/ & analysis.
  • Working knowledge of state and federal employment laws; and legislation updates.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to maintain a high level of confidentiality.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to deal with ambiguity and perform well under pressure.
