Job Title: Infusion/Chemo Scheduler
Location: Atrium Medical Center / Middletown, Ohio
Hours: Monday through Friday / 8 a.m. to 4:30 p.m.
Summary:
The Infusion Scheduler is responsible for scheduling patient exams, diagnostic tests and treatments.  The scheduler will be welcoming, a team player and have a positive proactive approach to working. They will have excellent customer care skills, communication skills both written and verbal and have the ability to multitask and prioritize their work load. This post will be playing an important role in the coordinating of patients through their clinical pathway by ensuring that the administrative processes and information are efficient, effective and in line with Dayton Physician Network (DPN) standards

Essential Duties and Responsibilities:
  • Greets patients; interacts with all patients, staff and external organizations in a polite and courteous manner.
  • Reviews and documents patient medical history including medications, allergies and medical alerts.
  • Schedules appointments and answers patient inquiries regarding appointment schedules.
  • The Infusion Scheduler is responsible for the coordination of all chemotherapy visit scheduling including the accurate scheduling of the nurse, resources and provider visits to ensure timely flow of patients occurs in the infusion suite.
  • Notifies patients of all pertinent information related to scheduled appointments.
  • The Infusion Scheduler works closely with the site Team lead. At the instruction of the site Team lead, schedules patients based on acuity, staffing and resources to ensure safe, quality care.
  • Contacts patients to clarify, reschedule and resolve issues surrounding appointment times.
  • Notifies Physician as necessary regarding their schedule, communicates with provider teams as needed during the scheduling process.
  • Ensures pre-certification is complete from insurance carrier prior to scheduled tests, treatments and/ or surgeries.
  • Drug administration through certain routes including injections.
  • Performs venipuncture and laboratory collection procedures.
  • Obtains, verifies and updates patient demographic information;
  • Contacts physicians’ offices, labs, testing facilities and ancillary facilities to request results and other documents as needed or requested.
  • Assists other office support positions as needed or requested.
  • Follow all health care privacy and safety rules and adheres to Dayton Physicians Core Values.
  • Maintains state certification, continuing education requirements, and basic life support certifications.

Required Education and/ or Experience:
  • Certified Medical Assistant (CMA) – Scheduler requires a High School Diploma or GED, a 2-year degree is preferred and;
  • One (1) year of previous experience working in a Medical Office or administrative position scheduling appointments or other activities on a regular basis, 2-3 years’ experience is preferred. 
  • Possession of a Medical Assistant Certificate issued by an accredited institution approved by the State of Ohio;
  • Current documentation of a national certification for the registered medical assistant (RMA) through the American Medical Technologists (AMT) or for the certified assistant through the American Association of Medical Assistants (AAMA);
  • Must possess current health records with the appropriate immunizations to work in the health care field (hepatitis B and tuberculosis).
  • Proficiency in venipuncture technique and laboratory procedures.
  • Experience in drug administration through certain routes including injections.
 
General Skill Requirements:
  • Excellent oral and written communication
  • Working knowledge of Microsoft Office, including Word, Excel and Outlook.  
  • Experience working with a Practice Management system.
  • Attendance and punctuality are essential requirements of this position to provide excellent customer service to both our internal and external stakeholders.
Physical/ Mental Demands:
Certified Medical Assistant (CMA) – Scheduler requires the ability to hear and speak clearly.  This position frequently is required to use wrists, hands and fingers to touch, type and hold objects.  This position is normally required to sit approximately ninety (90) percent of the day with an occasional need to walk, bend, twist and carry 5-10 pounds a distance up to four (4) feet.  This position requires the ability to answer telephone calls, transfer calls and work on the computer.
 
Environmental/ Working Conditions:
Work will be completed in a smoke-free, climate controlled medical office with the usual hazards of airborne germs, chemicals, various odors, blood and other hazardous waste products.  Office spaces may include the use of a parking lot within one half mile of the working location and may include the need to utilize stairs to access the working location.  This position may require travel to other office locations.
