Job Description

Position Summary
To perform clerical and general office work for the Department Chair with patients, residents, physicians, and staff.

Essential Duties and Responsibilities
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  Other duties may be assigned.

  1. Answer phones and direct calls to appropriate physician, nurse, nurse practitioner, or staff.
  2. Maintain database of surgeries and notebook of operative reports
  3. Pre-certify patient surgery with insurance company prior to date of surgery.
  4. Schedule patient surgery at designated hospital with hospital staff and with patient.
  5. Schedule appropriate instrumentation/devices to assist the physician in surgery.
  6. Schedule pre-operative and follow up tests.
  7. Verify insurance coverage with third-party payor.
  8. Maintain database of surgeries and notebook of operative reports.
  9. Schedule physician appointments for new patients and follow up patients.
  10. Maintain x-ray log to log in films when they arrive and when sent out.
  11. Open and prioritize Chairman's mail on a daily basis.
  12. Transcribe dictation as needed in relation to patient and physician correspondence.
  13. Check charts prior to clinic for operative, radiology, and pathology reports and/or films.
  14. Secretarial support for other physicians and nurse practitioner when needed.

Education           
High school graduation or an equivalent combination of training and experience is necessary.
 
Experience        
Three years of secretarial experience, including at least six months' of medical experience. Typing skill of 65 WPM is desirable.

Competencies  
Must be able to communicate providing verbal feedback in a professional manner. Must be able to follow and understand instructions, and react favorably in all work situations.  Must be mentally adaptable and flexible in dealing with a variety of people.

Supervision Received
Close supervision is received daily from Chairman and Clinical Manager to which assigned and/or from a more senior clerical employee; work results are reviewed at least daily.
