Job Description

Position Summary

The primary role of this position is the submission of accurate, timely, and compliant research grant and contract proposal applications to both federal and non-federal sponsors for all 14 major academic clinical Departments in the University’s School of Medicine, housed within the GW Medical Faculty Associates. This position is responsible for independently and solely preparing,  developing, and negotiating budgets with federal sponsors, other private non-profit foundations and sponsors,  pharmaceutical companies and medical device manufacturers and other industry partners for not only industry-designed, industry sponsored clinical trials, but also investigator initiated, investigational drug and device clinical trials.

Essential Duties and Responsibilities include the following. 

  • The Proposal Specialist will serve as liaison to the University’s Office of the Vice President for Research on behalf of the clinical departments for pre-award, and some post award administration matters as assigned.
  • The Proposal Specialist will carry out sponsored program administration duties including preparing, assembling and submitting research grant proposals for all clinical departments, including preparing, reviewing and analyzing budgets; coordinating budget development with other Schools within the University, as needed, advising on determination and computation of appropriate salary levels, percentages of effort, fringe benefit rates, and indirect cost rates and bases, exercising discretion with regard to involving department chairs/administrators with budgeting issues;
  • Preparing and negotiating budgets for investigational drug and device clinical trials with pharmaceutical companies and medical device manufacturers including industry sponsored and industry designed and investigator initiated clinical trials
  • disciplinary/multi-institutional proposals, and collaborating with external stakeholders, gathering subcontractor site documentation, working within strict timelines and guidelines to various funding agencies including Industry, Federal, State, associations, and local entities and Foundations
  • Preparing Other Support and compiling Biographical Sketches for researchers, writing non-technical narrative sections to support grant proposals to include budget justifications and descriptions of facilities and resources,
  • Creating budget models that fit within parameters of project budget and expectations; resolving issues associated with meeting sponsor or cost sharing requirements;
  • Submitting proposals through the University’s Cayuse electronic routing system, maintaining a tracking system to follow grant proposals, contracts, and agreements;
  • Responding to inquiries from senior management at MFA and University concerning specific grant and contract proposal and submission information; and serving on committees and attending meetings as assigned by the Associate Director for Clinical Research, communicating and training various audiences on proposal preparation policy and practice; and assisting the Associate Directors in Clinical Research with administrative duties as assigned.

Qualifications

Education           

  • College graduate, post graduate work or certifications a plus.

Experience        

  • 8 or more years of experience with federal and non-federal grant and contract administration/clinical research administration, including projects supported by pharmaceutical corporate sponsors requiring knowledge of regulatory and financial issues.
  • Knowledge of applicable FDA and federal regulations governing clinical research.
  • Preferred: Experience in an academic setting.
