Job Description

Position Summary
This position plans, manages and coordinates all special project activities for the Department of Ob/Gyn to ensure goals and objectives of such projects are accomplished within the specified time-frame and funding parameters. There may also be supervisory responsibilities associated with projects as completed.

Essential Duties and Responsibilities 
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  Other duties may be assigned.

  • Reviews project plan to determine time-frame, funding limitations, procedures, staffing requirements and allotment of resources to various phases of the project.
  • Establishes work plan, priorities, and staffing for each project phase and arranges for recruitment or assignment of appropriate staff and resources.
  • Secures resources to achieve the goals and objectives of the project.
  • Confers with staff to outline work plan and assign duties, responsibilities and scope of authority.
  • Manages activities of team to ensure project progress is on schedule.
  • Reviews status reports and modifies schedules and/or plans as required.
  • Prepares and presents project reports for the Practice Group Administrator, Department Chairman and others as necessary.
  • Provides technical advice and resolves problems with project staff and related stakeholders.
  • Tracks actual performance against planned project performance, analyzes variances, and works with project team to ensure all customer needs are met while maintaining control of the project.
  • Facilitates market analysis of continued areas of growth and potential program expansion. Provides information to Practice Group Administrator, Department Chairman and others as necessary.
  • Understands and supports the vision and philosophy of the Department of Ob/Gyn.
  • Demonstrates high priority towards serving internal and external customers in a courteous and timely manner.

  • Services as role model to departmental and other MFA staff.

  • Maintains a safe working environment by implementing and supporting all safety requirements.
  • Supports and participates in the Department of Ob/Gyn and the MFA’s performance improvement process in an effort to continuously improve the quality of patient care.
  • Adheres to the established organizational confidentiality guidelines.
  • Ensures our customers right to privacy and modesty by creating and maintaining a secure and trusting environment.
  • Obtains confidential information only when it is required for the performance of the job.
  • Effective communication skills with diverse groups, physicians, managers, and employees is required.
  • Develops, leads, and directs process improvement programs through planned, systematic, and ongoing processes for monitoring, evaluating and improving the quality of care provided.
  • Works on CORE Invoice submission, process provider leave request for template management. Helps manage the ambulatory operations managers and the in-patient provider scheduling system.
  • Supports the Administrative needs for the Chair and PGA; other duties as assigned.
 
Qualifications

Education           
Bachelor’s Degree required; Master’s degree in Healthcare Administration or related field preferred.
 
Experience        
Expert knowledge of healthcare management strategies, quality assurance, quality improvement and continuous improvement methodologies and tools. Ability to lead and facilitate group decision-making and conflict resolution. Ability to manage multiple priority projects simultaneously. Able to work effectively and efficiently under tight deadlines, high volumes and multiple interruptions. Able to work flexible hours as needed and to adapt to changing priorities.

Demonstrated leadership capacity and coordination skills. Excellent management, organizational, analytical and problem-solving skills. Positive and effective interpersonal and written and verbal communication skills. Organized and detailed oriented. Sensitivity in handling confidential information. Excellent computer skills including advanced MS Office and strong Power Point and Excel skills.

Supervision Received
General Supervision is received from Practice Group Administrator.

Supervision Exercised
May be assigned to supervise staff when projects evolve to functioning units.
