Job Description



Summary:  This series provides functional/operational supervision to the organization through progressively more complex and responsible levels.  Individual accountabilities and work volume will be established though the development of annual Success Objectives, within the framework outlined below.

Essential Duties and Responsibilities:

  • Collaborates with Volunteer Manager and other Travelers Aid Program Managers in determining the need for volunteer booth activity and volunteer rover activity. Participates in regular planning and coordination meetings.
  • Assists Volunteer Manager in planning and conducting informational sessions for potential new volunteers.
  • Works with Volunteer Manager to develop and conduct orientation and training for new volunteers on program services, policies, and procedures.
  • Works with Social Service Staff to train and schedule volunteers to provide Protective Travel Services (PTS) to a culturally diverse client population.
  • Assists Volunteer Manager to plan and conduct quarterly in-service trainings for volunteers for continuing education. Will handle logistics, including speakers, venues, transportation if required, etc.
  • Works with Volunteer Manager to identify new and continuing training needs for volunteers and to develop and implement an Annual Training Calendar. Organizes content, speakers, and venues for training sessions.
  • Assists Volunteer Manager to plan program and activities for volunteer appreciation events, annual luncheon, and social hours.
  • Supervises volunteers in accordance with established policies and procedures.
  • Works with Volunteer Manager and Social Service Staff to produce and maintain current resource materials, including binders, information desk resources, scavenger hunts, and other required materials.
  • Provides support and supervision of volunteers through direct observations, terminal walk-throughs, and one-on-one evaluation. Will report issues and areas of concern to Volunteer Manager for resolution and further action.
  • Assists Volunteer Manager with scheduled recruitment events as needed.
  • Assists Volunteer Manager with badging activities and requirements, such as setting up online trainings and contacting volunteers to help facilitate badging compliance issues.
  • Provides crisis intervention and emergency services to travelers as needed.
  • Facilitates cooperation between volunteers, staff, and others including the airport community
  • Collaborates with other Program Managers and Staff to plan Annual Open House event.
  • Remains current in the field of service provided by the program through self-initiated avenues, as approved by supervisor.
  • Maintains an appropriate professional demeanor towards coworkers, visitors, program participants, supervisors and all others.
  • Participates in organization-sponsored in-service training sessions as requested by supervisor.
  • Adheres to professional standards as outlined by governmental bodies, NASW (and/or other appropriate professional associations), and private funding sources. 
  • Works with Volunteer manager and other staff to identify content for monthly volunteer newsletter. Assists Volunteer Manager in the production and distribution of newsletter as needed.
  • Has flexibility in working evening and weekend hours as required by program needs.
  • Perform other job-related duties as assigned.

•         Education and/or Experience:  Bachelors degree and one year of supervisory experience required.  Experience with supervising volunteers preferred.

•         Computer Skills:  Proficiency in Microsoft Office, Internet Explorer, Outlook/Exchange; Windows operating systems; and other software routinely used by Heartland Alliance. Proficiency in Volgistics preferred.
