Job Description

KVC Hospitals gives people the hope and help they need to prevent suicide and other mental health crisis. We are opening a new children's psychiatric hospital in Wichita for children ages 6 to 18, and are seeking an organized and professional individual to join the team as Office Manager. The Office Manager will manage workflow of reception and office area. They will work closely with administration, practitioners and clinicians to ensure outstanding services are provided to families we serve. The Office Manager is accountable for maintaining records, handling sensitive and confidential information, and ensuring office and medical supplies are in stock and tracked appropriately. They should also expect to assist administrators with various tasks and duties.  Proficiency in Microsoft Office is required, as are excellent communication skills. Must be at least 21 years of age.  Salary range starts at $35,000 depending on experience. 

Education: High School Diploma or GED

Experience: Three or more years in an office setting, supporting multiple professionals. Experience in child or family services preferred.

  • Staff the front office receptionist desk providing administrative support across the organization
  • Monitor efficiency of front desk processes, procedures, and workflow
  • Follow security procedures by monitoring visitor activities, verifying approved contacts for resident visitation and phone contact, and coordinating with clinical and/or residential staff as needed
  • Manage telephone switchboard in a professional manner answering calls pleasantly using approved greeting
  • Distribute the Daily Census Reports to the appropriate staff ensuring the information is accurate and correct
  • Oversee donations of goods ensuring proper accounting/documenting and distribution to the appropriate departments
  • Maintain knowledge and skill by attending continuing mandatory training online or off site
  • Strict adherence to agency policies and procedures on confidentiality and HIPAA regulations
  • Provide administrative support to the Leadership Team
  • Sort and distribute internal and external mail using confidential guidelines
  • Maintain office equipment and ensure adequate supplies are on hand.
  • Maintain front office Process and Procedures Manual
