Job Description

Automatic Rolls of New Jersey seeks an Office Clerk responsible for completing many tasks concerning front office operations and human resources. Individual will be evaluated on ability to demonstrate 100% compliance during announced and unannounced verification. We exceed customer expectations through a continuous improvement process; and leverage our employee and supplier resources. Responsibilities: 

  • Answer telephones – place/change orders from customers
  • Receive packets from route delivery drivers with sales information for the route for the day
  • Make all adjustments to stores if needed
  • Maintain daily purchase log and make changes as needed
  • Ensure good communication with customers and QSR’s for the appropriate region
  • Effectively communicate issues or concerns with employees when in need of the Human Resource Department
  • Assisting Office Manager with all filing and other duties as assigned
  • Adjust private label orders as needed per their invoice
  • Ensure that by the end of the week all specials and SOD’s are recorded and sent to the QSR and Transportation department. 
  • Enter reconciliations in Production/Q-Term System daily
  • Enter receivers in FIFO/Q-Term daily
  • Open, stamp and date invoices upon receipt of daily mail delivery
  • Copy any checks and submit copies to Office Manager then forward all originals to the companies received
  • Write vendor number and account numbers on the invoice. Make copies of each invoice and send to department heads for signature approval. 
  • Put all original invoices, receivers, purchase orders, packaging slips together and forward to Plant Manager and Office Manager for approval (all documentation must be copied and retained for plant records.
  • Complete daily billing update on a daily basis
  • Dough sheets must be entered on a daily basis
  • Employee will assist with all tasks assigned by the Office Manager
  • Employee must leave work areas clean and organized
  • Other duties assigned as needed

Job Requirements

Qualifications:

  • High School Diploma or equivalent,
  • Basic literacy skills, able to read and comprehend instructions, signage, warnings, etc.
  • Able to use a PC to create reports and other related documents.
  • Able to generate written and verbal communications clearly and distinctly.
  • Able to operate required office equipment.
  • Bilingual preferred

Physical Demands:

The work is sedentary sitting most of the time; exerting up to 10 lbs. force frequently and 30 lbs. occasionally; negligible amount of force to lift, carry, push, pull, etc.  The work requires no special physical demands. It may involve some walking, standing, bending, or carrying of light items.

Work Environment:

The work area is adequately lighted, heated, and ventilated. The work environment involves everyday risks or discomforts that require normal safety precautions. The work is performed in an office or similar setting requiring normal safety precautions against everyday risks or discomforts. Typical office or administrative work. No adverse environmental conditions

Vision Requirements:

Near vision needed to read and prepare paper and computerized data and reports, and to examine and compile records.

Training Required:

The individual must complete all annual safety training, ergonomics, and any specialized and/or skill ware training this is required to perform his/her job.
