Job Description

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provide day-to-day executive support to the CEO, President and/or Executive Staff

  • Handle and maintain confidential information, materials and documents

  • Prioritize incoming written and verbal requests in a professional and timely manner

  • Demonstrate poise and proficiency in handling the multi-faceted demands of a busy, executive office

  • Prepare announcements, memorandums, agendas, itineraries and other documents as required to support the schedule and traveling needs of the CEO, President and/or Executive Staff

  • Read all incoming correspondence, provide synopsis of content and direct correspondence to appropriate individual and/or departments

  • Act as custodian of documents and records

  • Plan and schedule meetings, presentations and other events

  • Participate in meetings, record and generate minutes to include action items of all follow up requirements, as necessary

  • Interface with all levels of staff across the company and acts as liaison representing the CEO, President and/or Executive Staff, as necessary

  • Draft or assist with the development of presentations to be given to public groups, corporations, Boards and other similar groups

  • Prepare expense reports and weekly reports

  • Develop and maintain business profiles

  • Track, maintain and distribution of corporate materials, marketing literature

  • Develop and maintain internal and external contact database for CEO, President and/or Executive Staff

  • Other duties as may be assigned
     



SUPERVISORY RESPONSIBILITIES

  • May be required to provide supervision and direction to other administrative or
    clerical staff on special projects



 



QUALIFICATIONS

  • A minimum of ten years experience with progressive responsibilities in similar positions
  • Proficient in MS Word, Excel, Powerpoint and similar programs
  • Exceptional written and oral communications skills
    Business or secretarial certification a plus
    Preference for advanced training on computer or certification
