Job Description

Title- HQ Corporate Real Estate Associate Coordinator (9063320)
Duration- 12 months
Timings- 7:00 a.m. to 4 p.m.
 
Responsibilities:
  • Maintain exceedingly positive, pleasant and helpful demeanour at all times and remain calm under pressure
  • Greet guests in a friendly manner, and engage in conversation upon arrival and departure, as appropriate.
  • Inform Equinix host that his/her guest is on-site and confirm whether to escort guest to the conference room, board room
  • Observe and anticipate guests’ needs (using information obtained from previous interactions with the guest, if possible); look and listen for opportunities to exceed guest expectations.
  • Maintain orderly and presentable lobby
  • Maintain awareness of potential office security issues and communicate concerning issues to local office management, building security when appropriate, and risk management team
  • Distribute security badges and parking validations, as applicable and as needed; reconcile visitor logs for badges and the charging station program
  • Create conference room booking/set up/catering request
  • Perform additional duties and responsibilities as assigned coordinates special projects as needed (i.e., plans and organizes department or team events)
  • Manages end user expectations, meeting with them to review their requests and requirements for conference centre.
  • Ensures the timely delivery of professional communications to office, landlord and team members, follows up in a timely fashion
  • Assist with receiving deliveries of all external and inter-office mail and supports employees on all mail and shipping requirements as needed
  • Provides direction, information to vendors, service providers and facilities staff as required to ensure excellent coordination and execution of work within facilities with minimal disruption
  • Provides administrative support and coordination to larger department/business unit events, CRE monthly newsletter and office communications
  • Maintain Office space ticketing system and follow up ticket status, assigning tickets to CRE team and responsible for business card ordering
  • Proactively seeks to plan, budget, communicate and execute in a structured fashion
 
 Business Continuity & Compliance
  • May act as representative of safety committee team
  • Maintain proficient knowledge of all fire, safety, security and emergency procedures and skills.
 
 Repairs and Maintenance
  • Oversees and supervises contractors for maintenance and improvements including electrical, audio/visual, security, cabling, janitorial, plumbing, utilities, and HVAC for the EBC/Conference center
 
 Property Management Coordination
  • Responsible for maintaining vendor purchase orders and tracking budget as needed
  • Communicates and coordinates with property assistance on various issues such as building maintenance and security, safety (smoke detectors, sprinkler system, emergency lighting), and Heating, Ventilation and Air Conditioning (HVAC) needs
  • Ensures adherence to facility-specific cost savings targets to contribute to the account achieving significant savings
  • May provide direction to Facilities Coordinators and Senior Coordinators in efforts to ensure 100% adherence to guidelines and policies                  
 
 Preferred Skills:      
  • Fluency in Microsoft Outlook, Excel, Word
  • Interpersonal Skills
  • Sensibly balances timely and cost-efficient delivery with tact and diplomacy
  • Knowledge of general business management, facilities management, and office support services.
  • Ability to independently develop and manage resources and programs.
  • Knowledge of business planning, goal setting, and budgeting as well as performance evaluations of employees and oversight of contractors.
  • Excellent communications skills and ability to work effectively with others at all levels.
  • Understand and be able to use work order ticketing management systems
 
Education           
  • Bachelor's degree with a focus in business management preferred, coursework related to the job description, or 8 years equivalent experience strongly preferred.
