Job Function:


We are looking to hire an entry level Client Services Specialist.  This individual will be responsible for all processing and administrative functions relating to pertinent client requests, inventory management, reporting, and related programs.  Primary responsibilities may include, but are not limited to, coordination and internal facilitation of client-specific business rules, processes and requests, as well as overall day to day communications with our clients.  The Client Services Specialist will work closely with multiple Client Services team members and Production to ensure clients' programs are executed accurately and within specified timeframes.


Account / Project Coordination and Execution

  • Create/maintain the project task list
  • Determine and finalize departmental requests as required by each department
  • Complete project work instructions for projects
  • Complete change request forms
  • Manage project delivery
  • Purchase materials through purchasing as needed
  • Inventory management
    • Setup/maintenance of items low water, usage, destruction
    • Reporting
    • Initiate inventory discrepancy reviews
  • Order management
    • Data entry
    • Tracking
  • Returns processing
  • Various reporting as needed
  • Hold departments accountable and escalate to Account Manager/ Account Director as appropriate
  • Notify production staff of changing customer requirements and notification of surges in business activity
  • Review client and Dialog Direct SOPs and suggest appropriate amendments consistent with business changes and development
  • Make recommendations to Account Manager on  areas that could benefit from an efficiency and process improvement perspective
  • Communicate status of requests, changes in schedule, updates, and information to the Account Manager or client
  • Responsible for ensuring client's quality throughout any and all processes perform quality sign-off and review of quality documentation
  • Ensure requests are responded to in a quality conscious and timely manner
  • All daily activities required by Dialog Direct and/or client which may not be listed above


  • High School diploma or equivalent
  • Strong verbal and written communication skills
  • Strong mathematical skills


Knowledge, Skills & Abilities:


  • 3+ years experience with direct customer contact
  • Experience in pick-pack fulfillment, distribution, and warehousing
  • Knowledge in direct mail & DTC campaigns is preferred
  • Proficiency with Microsoft Office products, mainly Outlook, Word, and Excel
  • Must be assertive and have the ability to prioritize in a multi-tasking environment, work independently and with groups
  • Detail-oriented with superb organizational skills and strong follow-through
  • Excellent interpersonal and communication skills
