RISE’s mandate
We have a mandate to be an internationally competitive institute of industrial research that strives to achieve sustainable growth in Sweden, by enhancing the competitive strength and renewal of businesses. The mandate also includes an obligation to process all kinds of information in an appropriate, cost-efficient way throughout the entire life cycle of the information.
Description
We shall process all information correctly without preventing or obstructing learning and collaboration in day-to-day work. In order to guarantee correct processing, all employees shall have knowledge of current information security rules.
We shall process all information, regardless of form, in such a way that we meet the requirements of our activities. We shall also make sure that requirements for the processing of information in current legislation and requirements defined by states, authorities, customers, stakeholders and employees are met, in terms of confidentiality, accessibility, correctness and traceability. We also strive to always process information within the EU/EEA.
We shall process all information in an appropriate, cost-efficient way throughout the whole life cycle of the information: create – publish – use – archive – purge. All concerned must feel confident that information is being processed in an appropriate way in terms of processing, storage, archiving, dissemination and destruction, throughout the whole life cycle.
The Guidelines for Information Classification within RISE define the classification of confidentiality, accessibility, correctness and traceability.
The Guidelines for Information Security within RISE define requirements related to the expected use and nature of RISE’s IT resources.
Processing of personal data
We shall only collect personal data that is necessary and relevant for the purposes for which it has been collected. The data must be correct and updated, and not too wide-ranging in relation to the purpose for which it is being processed.
We shall make sure that processing of personal data takes place with the use of suitable technical or organisational measures to ensure that personal data will be protected against unauthorised or non-permitted loss, destruction or damage. We shall only store data for as long as it is necessary for the purpose for which the data was collected or for as long as is required in accordance with special legislation, e.g. the Swedish Accounting Act.
We shall have goals and guidelines for all processing of information including personal data. We shall observe defined procedures and processes in respect of all processing of personal data.
The Guidelines for the Processing of Personal Data within RISE define specific requirements relating to the collection, processing, storage, purging and handling of register extracts and requests for rectification, restriction or erasure.
RISE Research Institutes of Sweden AB, company reg. no. 556464–6874, Box 857, SE-501 15 Borås (hereinafter “RISE”) wishes to process your personal data for the purpose of registering you as a candidate for a position with us or recording your notification of interest in our candidate database, and for following up on the recruitment once it has taken place.
Control of personal data
RISE is the controller for the processing of your personal data in conjunction with your application and is responsible for your data being handled correctly in accordance with current legislation.
Legal basis
Your personal data is processed on the basis of your consent to the processing. You can withdraw your consent at any time by contacting us. Note, however, that we rely on your personal data in order to be able to evaluate you as a candidate and make an assessment of whether you are qualified for the position concerned or for other positions within RISE.
Processing of personal data
We collect and use your personal data in order to be able to evaluate you as a candidate and to make an assessment of whether you are qualified for the position referred to in the job advertisement. At a later stage we may ask you to provide additional data and/or documents in respect of your application. In addition to the recruiter responsible, the information that you provide to us in the recruitment process may be passed on to a recruiting manager or other individuals within RISE who are involved in the recruitment process and have a need for the information. We may also use your personal data to assess whether you are qualified for any other vacant position within RISE that you have not applied for. We also share the information you provide with companies tasked with processing information on our behalf, in accordance with our instructions, e.g. so that you can complete personality tests in conjunction with the recruitment process. We never share your information with third party providers for marketing purposes.
We take the technical and organisational security measures required in order to ensure that your personal data is not manipulated, lost or destroyed and that unauthorised persons do not gain access to it.
Sensitive personal data
You are not obliged to provide any sensitive personal data, such as personal data that reveals race or ethnic origin, political views, religious or philosophical beliefs, trade union membership, genetic or biometric data, or data concerning health, sex life or sexual orientation. Where sensitive personal data is provided on your own initiative, you specifically consent to this data being processed in accordance with the terms set out in this information. We advise you against providing sensitive personal data or data that is not relevant to the recruitment.
Rights relating to personal data
Depending on the circumstances, you may have the right to demand register extracts, to request that inaccurate information about you is amended or updated, to request that your data is erased or that processing of the data is restricted in certain specific situations.
Storage period
Your personal data will be saved for one (1) year from the date that you submitted your application, irrespective of whether you applied for a specific vacant position or submitted a speculative application. Thereafter the data will be purged and erased. However, the data may be stored for a longer period if this is required by specific legislation.
