Role: Payroll Team Leader

Robert Half are recruiting for a Payroll team leader to join a fantastic not for profit business based in Central Bristol. The role will focus on supporting Payroll Manager in managing & leading the Payroll Team through the day to day processes with a high degree of personal responsibility and initiative which will require to respond independently to queries and use judgement to deal with daily unforeseen problems and circumstances, with limited guidance.

Job Purpose:

Assistants to ensure that the business's 9000 monthly and 4 external payrolls run efficiently and accurately. They will manage the processing of the payroll data and organise and monitor their team's workload to ensure all changes are completed in line with the monthly deadlines and statutory obligations. Supporting Reporting to the Payroll Manager, the Payroll Team Leader will manage a team of administrators and the Payroll Manager with the run and reconciliation of the monthly payroll. The Payroll Team Leader will plan and organise their own work activities and if applicable that of team members, with discretion to determine and change priorities as required.

Main Responsibilities

Analysis, Reporting and Documentation

  • Ensure the payroll team's processes are adhering to the General Data Protection Regulation (GDPR)
  • Maintain up to date documented procedures on payroll processes. To providing training to ensuring that all members of the payroll team are fully conversant with statutory legislation and new processes and procedures
  • Analysis & problem-solving capability

Customer Services & Support

  • Deputising for the Payroll Manager during periods of absence from the office and authorising payments on their behalf.
  • Demonstrable commitment to excellent customer service
  • Act as the first point of contact for day to day queries
  • Seek feedback from customers and respond to any compliments, concerns, complaints

Planning & Organising

  • Provide training to ensuring that all members of the payroll team are fully conversant with statutory legislation and new processes and procedures
  • Organising and Planning tasks for Payroll Team in order to meet deadlines and support Payroll Manager in completing final monthly tasks and day to day running of payroll.
  • Provide any required training/development for the team, including developing a structured induction for new starters

Liaison

  • Communicate and build working relationships with key contacts from school/departmental/work units as well as external bodies, to support own work activities
  • Attend meetings, as requested by Payroll manager
  • Work closely with the other Team Leaders within HR to ensure that processes are effective and efficient, taking an active role in service development/improvement activities
  • Use appropriate communication channels within the Business to update staff on any payroll news/changes in a timely manner, ensuring the use of accessible language in all briefings

Continuous Improvement

  • Advise on and propose changes in procedures, plans, priorities and integrated systems to improve operational efficiency and quality of service in the Payroll Department
  • Keep skills up to date and develop depth or breadth of knowledge in a particular area through learning from the Payroll Manager and Senior Colleagues
  • Develop/review/update policies and procedures to ensure statutory compliance and alignment with HR strategy and plans, ensuring stakeholder engagement and effective implementation
  • Keep up to date with relevant regulations/legislation, taking action and implementing changes where necessary. Ensure Payroll team are fully informed of any such changes

People Management

  • Direct management of X Payroll Administrators and X Payroll Assistants, holding regular 1 to 1s, setting objectives and assessing and managing performance
  • Play a significant part in the selection of staff and their training
  • To engage, motivate and encourage personal professional development of team members, through effective performance reviews, personal development plans ensuring all objectives and 'smart' aligned with the delivery of the Finance Service plan.

Salary: £30k - £33k

Working hours: 45hrs a week

Benefits: 40 days holiday, 16% pension
