Job Summary

This individual assists the gatekeeper to the Marketing Department, responding to all field requests from more than 100 branch offices across the United States and scheduling the completion of tasks for all department projects. The coordinator assists with the daily project management of the department and performs necessary administrative tasks such as printing, proofing and shipping in order to bring marketing projects to completion.

Essential Functions of the Role

  • Assist Marketing Event & Project Manager with Executive Summaries, Invoicing, CPE Events, Fed Ex shipments, Orientation Guides, Flyer requests, customized salary research flyers
  • Responds to all requests made to the Marketing Department and then helps with tracking and managing progress of the request in marketing project management system under supervision of Marketing Event & Project Manager

  • Communicates with internal customers to report on the progress of marketing projects which includes inspecting, packaging and shipping large banners cases that weigh 15-20 lbs.

  • Handles all administrative functions for the department including mailing, printing, folding, binding, paper trimming as well as managing vendor communications

  • Responsible for coordinating all trade show and job fair event material

  • Assists Marketing Event & Project Manager with invoicing approvals and communication with AP department

  • Act as backup when needed to the Executive Assistant who supports our CEO and Founder

  • Responsible for the department’s calendar as it relates to birthday and anniversary correspondence

  • Must complete minimal graphic design work under the supervision of the Creative Manager

Job Requirements

Required Experience & Abilities

  • Bachelor’s degree

  • The ability to work well in a team environment

  • Committed to providing excellent customer service

  • Proficient in MS Works Suite

  • Experience with InDesign and Photoshop is a plus but not required
