Job Description

Hours: Full-time, 40 hours per week, M-F, 8:30-5:30
Location: Inland Shores

Job Summary/Position Objective:
The primary function of this position is to schedule appointments for patients from a recall work list. Reaches out to patients to schedule appointments per their provider's request. Manage and prioritizes the scheduling list per the recommended time frame of when the patients are to come in. Assists with the call center incoming calls at the beginning of the day, end of the day and as needed to help with high volumes.

Essential Functions: 

  1. Answer phones promptly and cordially, following the department scripting and protocol.
  2. Take messages and relay information to the nursing staff or physicians, or make appointments as indicated by the circumstances and medical office policy.
  3. Cancel and reschedule appointments as directed by the template detail clerk or team leader.
  4. Review future appointments as directed by the template detail clerk or team leader.
  5. Work closely with providers, nursing and reception staff to oversee template scheduling problems.
  6. Confirm and input account and patient demographic information.
  7. Participate in departmental meetings, for patient service. Problem solving groups and in-service educational opportunities on an ongoing basis.
  8. Assist OB/GYN department with paperwork and patient related forms.

Other Duties: 

  1. Serve as mentor to new staff and students as assigned.
  2. Perform other duties as requested.
  3. Make policy or procedure recommendations to Team Leader.

Job Requirements

Required Knowledge, Skills, Abilities: 

  1. Experience dealing with the public in a fast paced, customer service oriented environment or office setting.
  2. Ability to communicate clearly, professionally, and courteously.  Ability to read, understand, and follow oral and written instruction.
  3. Ability to work in a fast paced environment, while keeping close attention to accuracy.
  4. Knowledge of grammar, spelling, and punctuation in order to forward patient information to the medical staff.  Must be able to pass the required spelling and typing test.
  5. Must be able to work flexible hours and shifts and available for weekend rotation.
  6. Must be detail-oriented and have the ability to prioritize a variety of tasks, multitask.
  7. Must be able to work independently and as a team participant.

Preferred Qualifications: 

  1. One year work experience in a medical office setting.
  2. Knowledge of medical terminology desirable.
  3. Previous experience with cash handling, word processing and using computers.
  4. CPR certification.
