Job Description

Basic Purpose:
TMW / TLR Sales Assistant - This position exists for administrative reporting and scheduling duties required across the Taylor Sales department as well as invoicing for new, used, and rental equipment.

Nature and Scope:
The incumbent will report directly to the Director of Sales.   A professional relationship with all existing (and potential) Customers and the Taylor Dealer Network is critical. The incumbent must assist the Director of Sales with all reporting and time scheduling requirements in regard to sales. The incumbent must also assist the General Sales Manager, TLR Manager and Taylor Regional Sales Managers with administrative sales task when required.  Preparing invoicing for New Taylor Equipment is a key component to this position. Multitasking is essential while striving to meet a challenging workflow. 

Principal Accountabilities:

  • Performs all secretarial duties for Director of Sales to include answering telephone, correspondence, documents and reports, file maintenance, scheduling, special projects, etc.
  • Performs all secretarial duties for Regional Sales Managers, Dealer and Direct to include phone calls, correspondence, travel reservations special projects, etc.
  • Assists dealers and customers with general machine information.
  • Works with each salesman to assist with special projects and reports
  • Prepares quarterly invoicing reports and quarterly machine bookings for each dealer.
  • Prepares yearly reports of dealer and customer sales performance, top ten dealers, qualifying of rings, etc., and regional sales manager performance
  • Maintains calendar for Sales department.  Schedules visits, lodging, travel reservations and publishes visitor notices of dealers and customers.
  • Maintains calendar for Taylor customer activity schedule.  Books activities, lodging, etc.
  • Enters all sales order data for pending invoice of all new machines.  Maintains daily update of changes as they occur.
  • Upon completion of new machines reviews pending invoices for pricing, dealer ship-in fees, freight, warranty, etc.
  • Responsible for timely Invoicing for all new machines, to include attachments and AP orders
  • Maintains all master machine record files for new & used machines.  Loads sales orders, purchase orders, OSHA forms, Safety list, bill of ladings, warranty info, correspondence, invoices, etc. into Egnyte. 
  • Maintains all master machine record files for used and rental equipment (in Egnyte)
  • Prepares customs export paper and manufacturer affidavit for out of country shipments.  Prepares manufacture statement of origin upon request of dealer or customer.
  • Always exhibits patience and tact because of his/her unique position between the customer (or Dealer) and Taylor Machine Works, Inc. 
  • Scan/Move TLR documents to Egnyte: This includes rental contracts, used sales orders, reman safety forms, Return Condition forms etc.
  • Train/Learn TLR billing procedures: Invoicing- rentals, sales, freight & credits; Rental date changes, etc.
  • Send out shipping instructions for TLR equipment.
  • Help track movements within TLR inventory: Machines/forks/attachments
  • Communicate with Sudden Service Personal: Request Photos, Reports, and (safety) information regarding TLR equipment.
  • Keep track of Rental Process in Organized and timely Manner: Rental agreements, Acct. numbers, tax information, Freight charges,
  • Communicate with Taylor Logistics on shipping schedules
  • Track PO changes and update invoice information
  •  Assist Salesman with collections: reprinting invoices, looking at rental invoice information and records.
  •  Use Customer Portals: to invoice, check payment history, and check invoice statuses
  • Scan/Transfer TLR documents to Egnyte: This includes rental contracts, used sales orders, reman safety forms, Return Condition forms etc.
Requirements 

Job Skills and Qualifications:

  • Minimum 2 years college.
  • Proficient with Microsoft Office programs to including Word, Excel, and PowerPoint.
  • Sales and Marketing experience a plus/
