Job Description

KVUE TV in Austin, Texas is seeking a dynamic Executive Assistant/Programming Coordinator to assist the station with a variety of administrative tasks. This is a highly visible position requiring exceptional organizational, critical thinking, analysis, and operational skills.  Strong communication skills are a must, both written and verbal. The ideal candidate will have proven ability to multitask with both internal and external parties. The position requires a high level of discretion and strict confidentiality of proprietary information

Duties and Responsibilities

  • Excellent organizational and communicational skills, tact, poise, leadership qualities, and the ability to take independent action while maintaining a strong work ethic and attention to detail.
  • Must be proactive and demonstrate consistent follow-through, judgment, time management, prioritization, and possess the ability to work under pressure and meet deadlines.
  • Responsible for coordinating calendars, scheduling meetings, composing correspondence, receiving and routing messages, answering inquiries, processing e-mail, arranging travel, reconciling expenses and coordinating appointments and schedules.
  • Establish and maintain effective and cooperative professional business relationships with all levels of management, employees, and station executives and outside companies.
  • Assists in the preparation of presentations, meetings, and conferences, including coordinating facilities, telecommunication and equipment needs as required.
  • Assist recruiting with scheduling interviews, I-9 administration and employee contracts.
  • Handle administrative programming duties including but not limited to syndicator and network communications, booking orders, programming calendars, etc.
  • Maintain, review and manage reporting, including EEO, FCC, commercial limits and issue reports. Create monthly and quarterly “as-run” Children’s Programming Reports and file FCC Children’s form 398 quarterly.
  • Assist with additional, administrative or special projects as required.

Job Requirements

Required Experience

  • Experience providing complex, confidential administrative support in a high-profile environment.
  • The individual must have at least 3 years executive level administrative experience, Bachelor’s degree preferred.
  • Strong verbal and written communication skills, with a proven track record of being accountable for own agenda and working collaboratively with others to achieve broader goals.
  • Strong technical proficiency is required, including expert knowledge of Microsoft Office; i.e., Excel, Word, PowerPoint, Outlook, and other Internet tools, software applications, databases and systems used by the company as needed.
