Overview:

We’re seeking a detail-oriented and reliable Administrative Assistant / Receptionist to join our team and help keep our office operations running smoothly.

Position Overview:
As the Administrative Assistant / Receptionist, you will be the first point of contact for visitors and clients, while also providing essential administrative support to the office and production teams. This is a hands-on role that combines front-desk duties with back-office responsibilities in a fast-paced industrial environment.

Key Responsibilities:

  • Greet and assist visitors, clients, and truck drivers in a professional and friendly manner

  • Answer and direct phone calls, manage email inquiries, and handle incoming/outgoing mail

  • Generate and send accurate invoices daily using our accounting system

  • Create and manage Proof of Delivery (POD) documentation for shipments

  • Enter vendor bills weekly and assist with maintaining financial records

  • Schedule weekly lumber deliveries and communicate clearly with suppliers

  • Assist with document filing and general administrative support across departments

  • Maintain a clean, organized, and professional front office area

Skills and Experience:

Previous experience in an administrative or receptionist role preferred

Proficiency in Microsoft Office Suite

Experience with QuickBooks or similar accounting software

Strong organizational skills and attention to detail

Effective communication and interpersonal skills
