Admin Assistant II

Responsibilities:
  • Process and manage departmental transactions, purchase orders and invoices.
  • Update and manage departmental calendar PTO calendar.
  • Maintain office and equipment supply inventory.
  • Complete employee on and off boarding and work space transitions.
  • Reserve conference rooms, schedule meetings (in person and teleconference) and manage departmental catering.
  • Distribute departmental mail.
  • Complete weekly update and distribution of the field sales sheet to the designated teams.
  • Update and manage the VTS Veterinarian's weekly schedule.
  • Check departmental voicemail boxes and any assigned Pharmacovigilance (PV) pools to ensure callback messages are delegated and case updates are completed.
  • Check incoming departmental fax pools for delegation, update corresponding PV case(s), and notify appropriate team member of case update.
  • Update PV cases with product replacement shipping information.
  • Manage shared mailboxes to ensure timely response provided which includes attaching documents to cases and distribution of escalated cases to appropriate team members.
  • Complete any assigned additional tasks in support of the department in a timely manner.


Job Requirements

  • High School Diploma is required.
  • 3+ years of administrative assistant experience.
  • Proficient in Microsoft Outlook, Excel, Power Point, and Word.
  • Oracle experience is preferred.
