VOLUNTEERS OF AMERICA is hiring at Elder Homestead in the Hopkins/Minnetonka area, we're located between 394 and 62, just west of 169. Elder Homestead is an Assisted Living and Memory Care Residence.

PRIMARY RELATIONSHIPS: Will directly interact with all levels of staff, residents, visitors, and vendors, both over the telephone and in person.

OBJECTIVE: To provide professional and efficient clerical support to the facility, resulting in the delivery of excellent internal and external customer service.

We are looking for a Receptionist to make a great first impression to all that enter our Residents home. The role of the Receptionist is to provide superior customer service to all to residents, employees, visitors and guests. As receptionist, you will greet and direct callers and guests, prepare and sort mail, process payments, maintain the cleanliness and organization of the reception area, and complete other office/administrative duties.

CORE RESPONSIBILITIES: Greet customers, answer phones, give tours as requested.
Computer skills, Organizational skills and numerical ability is necessary.
Perform excellent customer service to residents, family members and visitors. Create work schedules for the staff. Other duties as assigned.

Job Requirements

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • High school diploma or equivalent education.
  • Minimum one-year secretarial experience.
  • Able to communicate, verbally and in writing, and work effectively with various levels of staff, residents, family members and the public.
  • Proficient typing required.
  • Dexterity required in the use of office equipment.
  • Numerical ability necessary to perform arithmetic computations in maintaining general bookkeeping records.
  • Ability to handle a variety of interruptions on a regular basis.
  • Ability to utilize computers and other electronic devices for tasks such as timekeeping, in-servicing and documentation.

  • Assumes responsibility for designated clerical and receptionist duties.
  • Receives incoming telephone calls, screens for correct transfer and connects with appropriate party.
  • Greets and directs visitors; screens and directs salespersons as advised.
  • Receives, sorts and forwards incoming mail; receives and routes package deliveries.
  • Opens and routes A/P and A/R mail.
  • Processes outgoing facility mail.
  • Serves as Personal Fund Custodian.
  • Presents applicants with flyer with online job application information.
  • Orders, stocks and maintains office supply storage area and copiers; calls for service when needed.
  • Sells meal tickets to staff and visitors.
  • Maintains resident Rolodex file and accurate resident information.
  • Contacts fax, copier and other business office equipment vendors for service when needed.
  • Assumes responsibility for facility typing.
  • Files documents and reports as assigned.
  • Ability to utilize computers and other electronic devices for tasks such as timekeeping, in-servicing and documentation.
  • Performs other duties or special assignments as directed by Executive Director.

Employees will be expected to:

  • Follow correct policy and procedures for department and facility Fire/Disaster/Missing Person Plan. Know the location of fire alarms and extinguishers.
  • Follow correct policy and procedure for hand washing.
  • Follow guidelines for proper method of lifting.
  • All doorways, hallways and areas are to be kept clear.
  • Know the location and purpose of Safety Data Sheets (SDS).
  • Follow guidelines for department environment and safety measures.
  • Follow guidelines for safe handling, inspection, maintenance and storage of equipment. Report any malfunction of equipment.
  • Follow guidelines for safe handling and storage of chemicals and supplies.
  • Follow correct policy and procedure for reporting of incidents: staff, residents, etc.
